Task 2 - Be able to prepare pre-production documentation

Task 2 – Be able to prepare pre-production documentation for specific media production

Resource lists -

A resource list is a checklist of all the objects and equipment that is being used before or during a project. The checklist is an way or assuring that all the equipment is safe and less likely to be lost. In the film industry, before the project begins a list will be set out that has all devices used such as camera, boom mic, set objects, lights etc. This is usually used as a little bit of insurance cause at the end of each day you can look at the list and make sure nothing is missing and if it is you can either find it or replace it. Resource lists are also used in the game industry for the same reasons. For my own project I have created my own resource list off what assets I have used to create my 6 3D survival models, I have compared that to what a better company or someone with a bigger budget would use to create the objects.

Risk assessment –

A risk assessment is quite similar to what a recce report, but it outlines the risk or certain situations and how severe that risk is along with how to prevent these from happening to the best of their ability, for example, to prevent tripping over wires that are loose you should tape them to the floor with masking tape. Risk assessments are a key part of a health and safety management plan because it doesn't only prevent risks but it shows how many dangers there are in the work place. The plan not only protects the people working on the project but the project itself as it tells you what to do if something should go wrong in the workplace. Below is a risk assessment form that I have created myself for creating my 3D models. The good side to my risk assessment   is that it will eliminate any danger that I can see happening where as I may have missed some risks and that could be fatal for the project. If in the future of my project timeline there may be a problem where the internet goes down causing my project to crash and i lose my work, the risk assessment ensures that my work is saved periodically and i have backups on USB sticks. Therefore lowering the chance of the internet crashing causing me to lose all my work.

SWOT analysis -

A swot analysis is a very quick document that will identify the pro/cons/ strengths and weaknesses behind an upcoming projects. These are used in a lot of projects before or during production.
The strength and weakness part are usually internal to your company, how you see yourselves whereas the opportunities and threats are external and come from outside the company.
Strength - This part of the analysis is where your advantages behind the project are, this is what you can do better than other companies. Do you have a bigger budget than others?
Weakness - This section is pretty simple, it is where all your weakness' going into. What your company or team should probably avoid going into or what factors could go into you losing some sales.
Opportunities - In the opportunities section you are to look at the trends that link with your project and what social patterns there are. For example, in the games industry, if FPS games are popular at the time then you would consider making one yourself.
Threats - The threats are the situation which you can't avoid, the immovable obstacles that are in your way. For example, if you have a set release date then you are socially obliges to stick to this date and if you don't finish in time then there could be a few problems. This relates to both the game and film industry

I have created my own SWOT analysis that link to my own project that I am doing.

Budget analysis -

The budget when starting any project is one of the most important aspects. It define what can be purchased and how far you can stretch your marketing etc. The budget usually has the say in whether the company creates a good good, bad game or whether they go bust. This is because the more money then the better things you can buy which means a better overall game/film/TV show or whatever will be in production.  In the game industry, the budget has the say in whether the upcoming (in production ) game is popular or not because of the way it is marketed and published. For example, a company like infinity Ward who have created a very good franchise in Call of Duty. they had a massive budget between $40 million to $50 million for Call of Duty: Modern Warfare 2, and a total launch cost of about $200 million, this included global distribution and marketing. A team like Infinity Ward are a lot more likely to produce a better and more widely known game than a team like DrinkBox Studios who developed Guacamelee with their 14-person team.

On average, the budget for a film will be a considerable amount more than a game or a tv show. For example, the most expensive film to do is the 2011 Pirates of the Caribbean: on Stranger Tides which had a budget of  $378.5 million and the most costly game is Rockstar's GTA V which had a confirmed budget of $265 million in 2013. Film companies may decide to not film at certain locations in order to lower the cost of their film. For example, in the film 'Interview with the Vampire' it cost Warner Bros $500,000  to film on Golden state bridge because it required them to stop traffic for a while. To avoid this companies can either move to cheaper locations that look similar or change the script around which can take days if not weeks. In this situation, Warner Bros could have just moved to San Francisco-Oakland Bay Bridge for close up which may have saved them a few hundred thousand dollars.

Sometimes it may be difficult for a company to have a budget for their wanted project. In the games industry, teams have had to show off their game to fans on pages like Kickstarter in the hope that people who like the look of the game will donate to their cause. One example of this working is in the case of Compulsion games' project of  'We Happy Few' who wanted about $250,000 for their game but by July 2015, they earned $334,754 worth of donation by fans. The game has since been released to Xbox and PC.

Above is the budget analysis i made for my project, I have my budget for a given item followed by the actual cost of the item and then i have the amount of money that i saved on it. At the bottom right is my overall savings after finishing the project. I ended up saving £365.50, a lot of that was due to Blender being free for me.

Recce report -

A recce report is a different type of risk assessment form that is usually conducted before the filming of a TV show or film. This document is there to try and prevent dangers and accidents from occurring during the recording. Recce reports generally looks at features like where the filming will be taking place and looks at the dangers as well as how to stop these from happening as best they can.
All film companies will take thee precautions before filming has started taking place as it ensures that nothing in their ability can go wrong. If there are measurements taken to prevent things going wrong then the likelihood of them then happening are much lower than they would be if nothing was done about it. A recce report will sometimes tell you if the cons outweigh the pros when you a choosing a location to film in. For example, if the area you're filming in is dangerous and the conditions aren't great then sometimes it may be best to film at another look a like location. If a location you want is frozen over cause of the snow and the chances of slipping are high then another location will have to be considered. Recce reports will be used in the future when filming is taking place. If you are in charge of very expensive equipment like a camera and it gets damaged or broken because of a slip then you setting the production back as well as the budget which is never good.

Below is a recce report that i conducted myself to help me prevent danger and losing my work.
